1. Introduction
Zone Intelligence Inc. ("Zone," "we," "us," or "our") is a Delaware corporation. This Privacy Policy describes how we collect, use, store, and disclose information obtained through our website, products, mobile applications, and related services (collectively, the "Services"). By using the Services, you agree to the practices described in this policy.
If you do not agree with this policy, please do not use the Services.
2. Information We Collect
We may collect the following categories of information:
- Information you provide directly: your name, email address, account credentials, and any other information you submit when signing up, creating an account, configuring your profile, or contacting us.
- Content you submit: text you type or dictate into productivity and planning features, notes you create, and images you choose to add to notes.
- Voice and audio input: if you use voice input features, we record audio through your device microphone so it can be converted to text. See Section 5 (Artificial Intelligence Features) and Section 6 (How We Share Information) for how this is handled.
- Device and usage data: device identifiers, operating system, app version, browser type, IP address, and interaction data with the Services.
- Neural and biometric data: if you use Zone hardware, we may collect electroencephalographic (EEG) signal data and derived cognitive-state information (such as focus, brain-load, and brain-energy metrics). The specific data collected depends on your device, settings, and the version of the Services you are using.
- Beta program data: if you participate in our beta program, we may collect additional feedback, performance logs, and usage metrics to improve the Services.
We do not knowingly collect gender or date of birth.
3. How We Use Information
We use collected information to:
- operate, maintain, and improve the Services;
- provide AI-assisted features such as task planning, scheduling, productivity coaching, voice-to-text, and text extraction from images (see Section 5);
- communicate with you about your account, updates, and program changes;
- conduct internal research and development;
- comply with legal obligations; and
- enforce our terms and policies.
We do not sell your personal information or neural data.
4. Neural and Biometric Data
To the extent Zone collects EEG or other biometric data, such data is used solely to provide and improve the Services. We do NOT share raw neural (EEG) signal data with third parties except as required by law or as necessary to operate the Services under confidentiality obligations.
Certain derived cognitive-state summaries (for example, a numeric focus or brain-energy value and the current task name) may be sent to our AI service provider to generate personalized productivity coaching, as described in Section 5. Raw EEG signal data is never sent to that provider.
You may request deletion of your biometric data at any time by contacting us at privacy@wear.zone.
5. Artificial Intelligence Features and Third-Party AI Processing
Some features of the Services use artificial intelligence to generate helpful output. To provide these features, certain user content is processed by a third-party AI provider, OpenAI, accessed through our own backend servers. Your device does not connect to OpenAI directly.
AI is used for:
- Task planning and scheduling: text you type or dictate is processed to generate a suggested task list and schedule.
- Productivity coaching: short, supportive messages generated from derived cognitive-state values and the current task name.
- Text extraction from images (OCR): if you add a photo to a note, the image is processed to extract any text it contains.
The information sent to OpenAI for these features may include: the text of your request, the text transcribed from your voice input, derived cognitive-state values with the current task name, and any image you explicitly choose to add. We do NOT send your name, email address, account identifiers, or raw EEG data to OpenAI. According to OpenAI's API policies, content submitted through its API is not used to train OpenAI's models.
Voice-to-text: audio you record through voice input features is converted to text on our own servers using a self-hosted, open-source speech-to-text model. We do NOT send your audio recordings to any third party.
AI output is narrow and purpose-built (task lists, schedules, and brief productivity coaching) and is not an open-ended chatbot. If you believe AI output is inappropriate, you may report it by contacting us at privacy@wear.zone.
6. How We Share Information
We do not sell, rent, or trade your personal information. We may share information in the following limited circumstances:
- With service providers who assist us in operating the Services under contractual confidentiality obligations. These include categories such as:
- AI processing: OpenAI (for the features described in Section 5);
- Cloud hosting and infrastructure: Amazon Web Services (AWS);
- Authentication: Google (Sign in with Google) and Apple (Sign in with Apple), if you choose those sign-in options;
- Push notifications: Apple Push Notification service and Firebase Cloud Messaging;
Each service provider operates under its own privacy policy and is permitted to use the information only to perform services for us.
- Business transfers: in connection with a merger, acquisition, or sale of assets, in which case you will be notified.
- Legal requirements: when required by applicable law, regulation, court order, or governmental authority, or to protect the rights, safety, or property of Zone, our users, or others.
7. Data Retention
We retain information for as long as necessary to fulfill the purposes described in this policy or as required by law. You may request deletion of your account and associated data at any time by contacting privacy@wear.zone or by using the in-app account deletion option where available. Residual copies may remain in backup systems for a limited period before they are overwritten.
8. Security
We implement reasonable technical and organizational measures to protect information against unauthorized access, loss, or disclosure. No method of transmission or storage is completely secure, and we do not guarantee absolute security.
9. Your Rights and Choices
Depending on where you live, you may have rights regarding your personal information, including the right to access, correct, delete, or obtain a copy of your data, and the right to object to or restrict certain processing. To exercise any of these rights, contact us at privacy@wear.zone. We will respond as required by applicable law.
- Account deletion: you can delete your account and associated data at any time as described in Section 7.
- Microphone and photo access: voice and image features only access your microphone or photos with your permission, which you can manage at any time in your device settings.
- We do not sell your personal information, and we do not use your neural data for advertising.
If you are located in the European Economic Area, the United Kingdom, or a U.S. state with applicable privacy laws (such as California), you may have additional rights under laws such as the GDPR, UK GDPR, or CCPA/CPRA. We process personal data under appropriate legal bases, including to perform our contract with you, with your consent, and for our legitimate interests in operating the Services.
10. International Users
The Services are operated from the United States. If you access the Services from outside the United States, your information may be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Services, you consent to this transfer.
11. Children
The Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have collected information from a minor, we will take steps to delete it promptly.
12. Changes to This Policy
We reserve the right to update this Privacy Policy at any time. We will post the revised policy with an updated effective date. Continued use of the Services after any changes constitutes acceptance of the revised policy.
